Match the supply to the exact hole pattern, pitch, and binding style your machine uses. Comb binding normally uses 19 rectangular holes on letter-size documents. Wire binding may use 3:1 or 2:1 pitch, depending on document thickness and equipment setup. Coil binding commonly uses 4:1 or 5:1 pitch, and those patterns do not interchange. VeloBind and three-hole binding use different patterns again. Before ordering, punch one sample sheet and compare the hole count and spacing with the supply description. If several formats are used in one workplace, store binding supplies by machine type and label each bin clearly.

The right choice depends on volume, labor, and how often the same document format repeats. A binding machine gives the most control when you bind different sizes, covers, or spine styles in-house. Pre-punched paper can save time when your team runs the same hole pattern often and wants to reduce manual punching. Ready-to-use supplies, such as covers, combs, coils, wires, rings, and thermal covers, make sense when the machine and document format are already set. For high-volume recurring work, labor savings from pre-punched sheets may matter more than supply cost. For occasional work, flexible equipment and smaller supply quantities are usually safer.

Pair the cover and spine with the document’s purpose. A clear front cover works well when the title sheet should show through, while a solid paper or poly back adds support. Poly covers are better for moisture, frequent handling, and field use. Paper covers are better when the front needs printing, stamping, or a textured business look. Comb spines support editable documents, coil supports lay-flat handling, wire gives a clean presentation finish, and thermal covers suit polished bound reports. If the cover stock adds thickness, include it when sizing the spine. Review binding covers by material and finish before choosing the final spine.

Pitch means the number of holes per inch along the binding edge. It is one of the most important compatibility details when ordering coil or wire. A 4:1 coil pattern will not fit a 5:1 punched document, and 3:1 wire will not fit 2:1 wire equipment. The pitch also relates to document thickness. Smaller wires often use tighter patterns, while thicker documents may need a different wire pitch. Do not order by color or diameter alone. First confirm the machine’s punch pattern, then choose the spine size for the finished stack. When in doubt, punch one sheet and count or measure the holes before buying a full box.
