Review the organization’s disposal policy and any legal or contractual requirements that apply to its records. Choosing a machine with insufficient security can create a larger problem than choosing one with a slower speed or smaller bin.

Paper support is standard, but staples, paper clips, credit cards, optical media, labels, envelopes, and folded sheets are not accepted by every machine. Confirm each material against the individual shredder specifications before ordering. A model that handles staples can save preparation time, while a separate media slot may be useful when cards or discs are part of the disposal routine. Do not assume a wider feed opening means the cutters can process every item placed through it. Adhesive labels, heavy folded stacks, and unsupported media may cause jams or damage. The safest choice is a machine whose listed capabilities match the real waste stream. Staff should also know the sheet limit and accepted materials so the shredder is not regularly used outside its rating.

Choose a finer cut when the documents contain information that could cause harm if recovered. Customer records, personnel files, financial documents, medical information, contracts, and regulated material generally require smaller particles than a basic strip cut machine produces. Cross cut may suit many confidential office documents, while micro cut paper shredders reduce paper into still smaller pieces for stronger protection. Security is not the only factor, because a finer cut machine must also provide suitable sheet capacity, run time, bin volume, and maintenance requirements. Match the cut level to the most sensitive material that will routinely enter the machine rather than relying on a separate rule that staff may forget during busy periods.
