Choose according to the number of envelopes processed during a normal day, the busiest expected period, and the variety of mail being opened. A compact desktop unit may be enough for a reception or accounting area handling moderate quantities. A higher-capacity machine is more suitable when large stacks arrive together or mail processing must be completed within a limited period. Envelope size, thickness, flap style, and mixed-mail handling also matter. Other mailroom equipment can help build a workflow that includes opening, folding, inserting, sealing, and organizing outgoing or incoming documents.

Use equipment designed to remove or mill a narrow strip from the envelope edge rather than cutting deeply into the contents. Keep documents fully settled away from the opening edge before feeding them. Thick enclosures, folded contents, clips, uneven envelopes, and overfilled mail can increase the chance of damage or feeding problems. Test unfamiliar envelope formats in a small quantity before processing an entire stack. Operators should avoid forcing envelopes that exceed the stated thickness or size limits. Regular cleaning also helps maintain a consistent opening path.

An automatic feeder is useful when staff routinely process stacks of similar envelopes and need to work on other tasks while the machine advances the mail. Feed capacity should be assessed together with speed because a fast opener still requires frequent attention if the input tray holds only a small stack. Mixed envelope sizes may need to be separated for more reliable feeding.
