The machine description should state the recognised particle or security classification rather than relying only on terms such as secure or confidential. When several departments share the shredder, plan around the most sensitive material that employees are authorised to place in it. Highly classified records may require a dedicated high-security system rather than an ordinary large-office cross-cut model.

Auto-feed equipment can save staff time when large, well-prepared stacks are destroyed regularly. Users place the paper into a secured tray and the machine feeds the sheets gradually without constant manual loading. Suitable automatic paper shredders should be chosen according to tray capacity, security level, acceptable materials, and the time required for a full cycle. Some auto-feed mechanisms may not accept folded sheets, adhesive notes, heavy staples, or mixed media in the same way as the manual feed slot. Consider whether sensitive documents can remain unattended during processing and whether the tray locks. Manual-feed models may still be more practical when jobs are small, irregular, or contain materials that need individual inspection.

Bin size should be based on daily volume and the number of interruptions the office can reasonably accept. Cross-cut particles occupy less space than long strips, but a busy department can still fill a medium cabinet quickly. A larger bin reduces emptying frequency, although the bag may become heavy and awkward to remove when full. Examine how the container opens, whether it rolls out, and whether staff can replace the bag without spreading fine paper particles. Leave enough clearance around the machine for the cabinet door or bin to open fully. Full-bin indicators and automatic shutoff can prevent waste from reaching the cutting head. Tracking current disposal volume for several days provides a better estimate than choosing the largest cabinet without considering floor space.

Cross-cut systems often require regular lubrication because paper is cut in two directions and creates more friction than strip cutting. Use only the oiling method and product approved for the machine. A supply of shredder oil sheets may be convenient when the manufacturer permits them, while heavier-use units may include manual or automatic oiling systems. Correctly sized waste bags should also be available from installation day. Staff should be shown the sheet limit, accepted materials, jam-clearing procedure, and bin-emptying method. Maintenance frequency depends on workload, so a machine serving many users may need more attention than a similar model in a lightly used office. Keeping a simple service record can help identify changes in noise, speed, or cutting quality.
