Instead of relying only on a calendar, consider how frequently the waste bin is emptied or how much paper passes through the machine. Keep a simple maintenance record near shared equipment so oiling is not forgotten or repeated unnecessarily. Automatic oiling systems still require the reservoir to be checked and refilled with the approved lubricant.

Use the application method stated in the machine manual. A common direct procedure involves applying a controlled line of oil across the cutter width and then running the shredder briefly so the lubricant spreads through the mechanism. Some instructions allow an oiled paper method, while automatic systems draw oil from a reservoir. Never pour a large quantity into the feed opening. Compatible shredder oil sheets may be convenient for certain machines, but they should not be assumed suitable for every model. Follow the approved amount, direction, and operating sequence, and clean any spilled lubricant before returning the equipment to normal use.

Do not use a substitute unless the manufacturer specifically approves it. Cooking oils can become sticky or rancid, while aerosol and petroleum-based products may create a safety risk or damage internal components. General mechanical lubricants may have the wrong viscosity or chemical composition for paper-shredder cutters. Use only a product intended for shredders and confirmed for the machine. Keep the container clearly labeled and stored away from unrelated maintenance supplies so employees do not apply the wrong substance. When an unapproved product has already been used, stop normal operation and obtain appropriate service guidance before adding more lubricant or attempting to clean the cutter mechanism.

Empty the waste container before particles reach the cutters, remove visible paper dust according to the instructions, and inspect the feed opening for trapped material. Do not place sharp tools near the cutting mechanism. Repeated jams may indicate overfeeding, unsupported materials, poor lubrication, worn components, or a bin that is fuller than expected.
